Using the Excel Template to Import Contacts

The template file for importing and creating/updating contact records and an associated company record for the contact may be found here.

The fields in the template file are described below.

First Name Note: if import record has first and last name in a single column, copy the full data (eg "John Smith" into a the First Name column and HubSpot will auto correct it in First Name, Last Name format.
Last Name  
Email  Compulsory, if an email does not exist, do not try to import the record
Job Title Not compulsory
Company Not compulsory
Company Website Calculated field, based on the email address and this is used to create/update the company record in HubSpot.
The formula is:

=MID(C2, SEARCH("@", C2) + 1, LEN(C2) - SEARCH("@",C2))

It appears in the template spreadsheet and must be copied down for each record in the import.
Mobile Phone Number Not compulsory
Phone Number Not compulsory
Country Not compulsory

It is the role of the HubSpot Administrator to take the contact data from the source, for example a trade event, and map to the above fields.

If there is any additional data in the source content, it is the responsibility of the data owner to enrich the properties for that contact once the data has been imported.

You also have the ability to add columns to this template if there is additional data that maps cleanly to the HubSpot Contact object.  Do this at your own discretion.

Important: the naming convention of your file should be YYYYMM-Descriptor.  For example it might be 202406-RTNZ or 202405-TRENZ etc.

This naming convention is important because it will be used by the Partnerships Team to filter their newly imported contacts in HubSpot.
